This policy explains how personal information is collected, stored, and used during tutoring sessions with Sian at Believe to Achieve Tuition.

Information Collected

  • Child's name and age
  • Parent or carer contact details (email and phone number)
  • Relevant educational information to support learning (e.g. reading level, areas of need)
  • Dietary requirements, food allergies, and relevant medical information (collected via consent form)
  • Photo and video consent preferences, and any images or recordings taken during sessions

Use of Information

  • Information is used solely for the purpose of delivering tutoring services.
  • Personal data will not be shared with third parties without consent, unless legally required.
  • Dietary and allergy information is collected and processed on the basis of explicit consent, for the safety and wellbeing of children during sessions.
  • Photo and video consent is collected and processed on the basis of explicit consent, as required under UK GDPR.

Consent

  • Consent for refreshments and the collection of dietary/allergy information is obtained via a digital consent form completed by a parent or carer before sessions begin.
  • Consent for photography and use of images on social media or promotional materials is obtained via a separate digital consent form.
  • Consent records are stored securely via Google Forms and Google Sheets, accessible only to Sian.
  • Parents may withdraw or update their consent at any time by contacting Sian in writing at believetoachievetuition@gmail.com.

Storage and Security

  • Personal data is stored securely and password-protected.
  • Records are maintained in line with best practice for small businesses handling children's data.

Recording of Sessions

  • Sessions are not recorded unless explicit consent is given in advance.
  • Where consent is provided, recordings are stored securely and used only for the agreed purpose.

Data Retention

  • Information is retained only for as long as necessary to deliver services and meet legal obligations.

Parents' Rights

  • Parents have the right to request access to, correction of, or deletion of their child's personal data.
  • Requests should be made directly to the tutor.
